That’s why our event planners, Marie Johnson and Michelle Anderson, are here to share their insights to help you plan an outdoor event that’s as smooth and stress-free as possible.
1. Always Have a Plan B

Wisconsin weather is unpredictable, and having a backup plan means you’ll be ready for whatever comes your way. “Expect the best, but plan for the worst,” says Marie. It’s not about taking away from your vision—it’s about making sure you’re covered, so you can focus on enjoying your day.
Michelle adds, “It’s just as important to like your Plan B as it is to love your Plan A. If you’ve thought through what your backup option could look like, you’ll feel much better if it becomes necessary.” Whether that’s renting a tent or having an indoor option ready, our goal is to ensure that your Plan B still feels thoughtful and special.
2. Don't Forget the Logistics
It’s easy to get caught up in the look and feel of your event, but functionality matters, too. Marie emphasizes the importance of balancing vision with practicality. “We want everything to look beautiful, but it also needs to work well for your guests and your vendors.”
Some things to think about:
- How will food be kept at the right temperature?
- Where are power sources for lighting, music, or food stations?
- Is your catering team set up for success with enough workspace, shade, and access to water or power?
Even small details—like choosing menu items that can handle the weather—can make a big difference in keeping everything running smoothly for your outdoor wedding.
3. Be Flexible and Open-Minded

Outdoor weddings can come with surprises, and sometimes that means adjusting your plans. We understand how emotional this can feel—our team has been there. “It’s tough when your vision has to shift,” says Marie. “But we’ll do everything we can to make sure your backup plan is just as meaningful.”
One couple getting married at Western Lakes Golf Club (shown above) had rain show up unexpectedly on their wedding day, but with our team’s quick thinking, they moved the ceremony indoors while still having the space and capacity to set up for the reception. Cocktail hour was enjoyed inside as well on the other side of the room as our team put together the final touches on the room flip from the ceremony to the rest of the reception space.
Flexibility is key, and trusting your vendor team to adapt to the unexpected can take a lot of the pressure off your shoulders.
4. Trust the Professionals
Planning an outdoor event can feel overwhelming, but that’s why we’re here. While your vision is important, your guests’ comfort should also play a role in your planning. For example, you might not want your guests sitting in the rain without umbrellas or baking in the sun without shade. Renting a tent can offer protection from the elements while still preserving that outdoor ambiance.
Michelle notes, “Little touches, like having a shady spot or a place to escape the weather, can make all the difference for your guests. It doesn’t have to be elaborate, but it’s worth considering.”
